Phoenix ConGames

Purpose

Following these instructions will allow you to create a new event for Phoenix ConGames. You will need to have a Member Account if you wish to submit any events.

How to submit a new event for Phoenix

  • On the left hand side of the screen is the main site navigation menu. Find the "Event Coordinators" button and click it.

  • A sub menu will appear with event coordinator information. One of the options is "Submission Form" button, click it to bring up the new event submission form.

    Note: you must be logged into the website to submit an event. If you are not logged in, you will be redirected to the login page.


  • This will bring up the Event Submission screen with a form to fill out.

  • Fill out the submission form. Each section is listed below with detailed information on each input field.


  • User Information: Event Coordinator Data

    Check that Your Name and Your Email are correct. You will be the owner of this event in the system, all notices about the event will be sent to the email listed on your account.


  • Required Information: Event Information

    Input FieldDescription
    Title of EventThe name of the event, limited to 64 characters. This is the first thing a attendee will see about your event. A good name will draw them in and have them wanting to find out more about your event.
    Event TypeThe is a broad category of events. Select the type of game that best describes the type of event this is. Attendees will be using this to help them filter events they wish to attend. Description of Event Types
    Game SystemThis is not a complete list, however over the last few years we have noticed a trend of these mainstream events at our conventions. Select from the list the best fit for your event, if you can not match your event to anything on the list then select ''Other Game System: See Notes'' and list the system in the Unique Needs box at the bottom of the form. We will add new systems as needed to meet the ever changing industry.
    DescriptionLimited to 255 characters, this is the detailed information an attendee will be looking at to base there desire to participate in your event. A brief but focused description will help attendees decide on your event over hundreds of other choices.
    RestrictionsAlso limited to 255 characters, use this section for any limits an attendee may need to know about. This will help to keep questions down about what can be brought to the event, what rules will be used, what attendees should bring, how they should dress, and what you will provide.


  • Optional Information: Event Details

    Input FieldDescription
    Minimum (Players)What is the least number of players you need in order for this event to be run? Enter the numeric value (i.e. 4) for four players.
    Maximum (Players)What is the largest number of players your game can fit? Remember to subtract one from that number if this event has a limited number of seats and you plan to take one of them! This should be a numeric value.
    ComplexityTo aid users in finding games the can play we have Complexity levels, which will help attendees find a game they are comfortable joining. Description of Complexity Levels
    ExperienceJust like Complexity we have Experience levels to again help our attendees find an event they are comfortable joining. Description of Experience Levels
    RatingWe are using the ESRB Rating system found on Video Games. It is very similar to the MPAA movie rating system. Select the rating that this event falls under, based on the content, and how you plan to run it. Description of Rating System
    LengthWe have found that a good event length is 4 hours. While some card and board games run shorter, and some RPG's run over, 4 hours tends to be a good length. As such you will find we are booking in 4 hour blocks. If your event just has to run for less time, you will need to run it twice. If you your event must run over, you will be given multiple slots to hold the event.
    Time SlotAs events are based on a 4 hour time frame, we have scheduled a number of start times (slots) to which a game can be played. This is to help normalize the chaos and allow attendees attend as many events as they can during the 4 day convention. Please select the time slot that best fits your needs for this event. This may not be the time slot you will be given, however it is a starting place for our event managers. If this event will be run more than once, simply list the time slot as ''Multiple Runtimes: See Needs'', then enter more detailed time needs in the Unique Needs Box.


  • Optional Information: Event Needs

    Input FieldDescription
    Space NeededNeed 4 tables, need a room, need a empty section of floor 16 feet by 9.5 feet? We assume standard table needs based on an event type. 5' round for a RPG, Library Table for a Card Game, and so on. If you want to get the exact space your event needs, let us know what it is here. Limit 255 characters.
    Unique NeedsLet us know? What do you need? List times for multi-round events. List scheduling notes (I can not run this Friday morning as I will be at work...) or any other data we need to know...


  • Optional Information: Other Data

    Input FieldDescription
    WebsiteIf you have custom rules, more detailed information, a group / company website, or something else (related to this event) that you want to link to, enter it here. Enter the full address for a website. (i.e. ''http://www.conevents.com'')


  • When you're happy with what you entered go ahead and press the ''submit'' button.


  • An e-mail will be sent to the e-mail address listed on the page confirming that the data was received by us without issues.

That's it!

You have submitted your first event. You will be returned to the current page. A number of notes will appear stating the event was added and that we emailed you.

Also the form will list the event information you just filled out. If you want to enter a second event you can change the fields as needed, or click the ''Reset'' button on the bottom of the page to clear the form and start all over.
