ICE Escape 2005 Author/Publishers Convention
Where Publishing Comes Together!

Merchant/Exhibitor Booths for 2005 are $400 for an 8x8 space with standard pipe and drape and electricity. A $100 deposit is required with application.

NOTE: INDIVIDUAL AUTHORS may promote and sell their books at one of our Authors Tables.
Space will be $40 for 5 hours, and you may choose your slot. Signage will be provided.

$400 BOOTH RENTAL INCLUDES

  • An 8 foot by 8 foot space at the Wyndham Phoenix in the Pueblo Room, which will be our main Merchant/Exhibitor area from Friday, March 18th at 8:00 am to Sunday March 20th at 5:00 pm.
  • Electricity at the booth
  • 2 admissions to the convention (Merchant/Exhibitor ID will be provided to register for events)
  • Parking in the Garage
  • Your choice of table: 6' x 30", 5' Round, 6' x 18"
  • Standard Pipe and Drape, with a Company Name sign provided. Pipe and drape will have 8 foot backdrop and waist-high side rails.
  • A quarter page advertisement in the Program Book (Information and files must be received by November 30th or our promotions department will provide content as it sees fit for your advertisement)
  • Booths will be listed in the Program Book according to number. They will be assigned at the discretion of CONEVENTS, LLC
  • Phone line is available for $160 per day per booth. Internet access will be available at registration for those who would like to accept PayPal or another online payment system for their products or services.
  • Current Merchants/Exhibitors will be able to pre-register for the following year and will receive consideration for participation in ICE Escape 2006 prior to newcomers. (Note: Applicants are not carried over to the next year - you must reapply each year)

Please read the following carefully. Submitting application confirms that you have read the following and agree to abide by and accept it.



SETUP INFO

1.1) There will be a Merchant/Exhibitor liaison to assist you in setting up and checking in. Merchant/Exhibitor room will be the Pueblo Room on the street level of the Wyndham Phoenix.

1.2) Merchant/Exhibitor Setup is Friday from 8:00 am to 3:00 pm. Merchant/Exhibit room opens at 3:00 pm.

1.3) Register upon arrival no later than 8:30 am Saturday, or your booth will be reassigned.

1.4) All setup equipment must be removed by 2:30 on Friday afternoon.

1.5) Merchants/Exhibitors must have their space clean and ready to turn back over to CONEVENTS, LLC by 5:00 pm on Sunday.

1.6) Payment may be made to CONEVENTS, LLC by personal check, money order, or PayPal (note - you are no longer required to have a PayPal account to pay with a credit card) PayPal payments should be made to register@conevents.com Check or money order payments should be made to CONEVENTS, LLC, PO Box 8829, Scottsdale, Arizona 85252

1.7) Booths will be assigned as they are chosen, and payment in full will be required within 1 week of acceptance unless prior payment arrangements are made. If payment is not received within one week of acceptance, your space may be filled at our discretion and with no further notice. All payments must be completed by December 31st, 2004.

1.8) CONEVENTS, LLC requires booth displays to be in good taste, free of fire hazard, and products properly represented. The noise level should respect adjoining booths. Taxes, Licenses and Insurance payments are the Merchant's responsibility. All signs must be pre-approved by CONEVENTS, LLC

1.9) CONEVENTS, LLC reserves the right to allocate booths at our discretion for good balance of categories.

CANCELLATION POLICY

2.1) If you need to cancel, please let us know right away so that we may facilitate finding a replacement for you, and to remain in good standing with CONEVENTS, LLC

2.2) You may by December 31st, 2004 for a full refund. After December 31st, 2004, there are no refunds!

BOOTH RENTAL TERMS and CONDITIONS

3.1) Booth rental is from Friday, March 18th at 8:30 am until Sunday March 20th at 5:00 pm. Merchant/Exhibitor's failure to comply with all rules and conditions will result in not being invited to return the following year.

3.2) Merchant/Exhibitor shall pay CONEVENTS, LLC $400 per booth, with payment in full by December 31st, 2004. Failure to pay the full amount by that time will result in forfeiture of booth reservation and deposit.

3.3) Merchant/Exhibitor shall not use, or permit the use of, premises for unlawful purpose or violation of any law, order, or regulation of any government authority or any restrictive covenant relating to the use or occupancy of the premises. Merchant/Exhibitor shall not permit any waste or misuse of the premises. CONEVENTS, LLC reserves the right to disconnect any equipment which it reasonably deems to be a fire hazard. Merchant/Exhibitor shall not display any object deemed to be offensive.

3.4) Merchant/Exhibitor will not affix any objects to the walls, curtains, or anywhere else without prior permission.

3.5) It is the Merchant/Exhibitor's obligation to comply with any and all governmental requirements for conducting its business on the premises in the manner proposed.

3.6) Merchant/Exhibitor will maintain a noise level respectful of adjoining booths, and agrees to be respectful and cooperative with other Merchant/Exhibitors and the CONEVENTS Staff. CONEVENTS reserves the right, at its sole discretion, to settle disputes between Merchant/Exhibitors.

3.7) Merchant/Exhibitors shall bear the risk of loss arising from damage to or loss of Merchant/Exhibitor's personal property and trade fixtures located on the premises. Merchant/Exhibitors shall bear the risk of loss arising from any interruption of business. Merchant/Exhibitors shall bear the risk of, and shall hold CONEVENTS, LLC harmless, from any loss, cost, or expense by reason of claims for personal injury and property damage arising out of Merchant/Exhibitor's occupancy of the premises, whether due to the fault of Merchant/Exhibitors or others, excepting only the fault of CONEVENTS, LLC. In the event CONEVENTS, LLC is unable to hold the show, at the location and time specified above, due to any cause outside CONEVENTS, LLC control, then Merchant/Exhibitor shall waive any claims for damages except that Merchant/Exhibitor will be entitled to a refund of any deposit monies actually paid to CONEVENTS, LLC.

3.8) Merchant/Exhibitor shall not assign nor sublet or permit the premises or any part thereof to be used by others, without the prior consent of CONEVENTS, LLC.

3.9) Merchant/Exhibitor shall not make alteration or addition to the premises without the prior consent of CONEVENTS, LLC.

3.10) Any failure to abide by the terms and conditions of this agreement shall be a default by Merchant/Exhibitor and will result in, at CONEVENTS discretion, the removal of Merchant/Exhibitor from the premises and/or the inability to return and/or financial retribution to CONEVENTS, LLC for any damages caused.

3.11) By submitting the BOOTH RESERVATION contract, you agree that you have read the terms and conditions set forth, in addition to the Merchant/Exhibitor information, and agree to abide by and accept it.
